Key Responsibilities:

As an Executive Assistant to the Deputy Commissioner, you will be responsible for providing high-level administrative support to the Deputy and Assistant Commissioners, including:

  • Maintaining the appointment schedule and arranging meetings and conferences
  • Notifying the Deputy and Assistant Commissioners of meetings and preparing correspondence, files, and other materials
  • Maintaining notes for meetings attended by the Deputy and Assistant Commissioners and tracking action items with internal and external stakeholders
  • Maintaining departmental mailing lists and composing and distributing quarterly newsletters and reputed company communications
  • Gaining a working understanding of the regulations and guidance governing the Community Development reputed company Grant (CDBG) Program
  • Assisting the Deputy Commissioner and other team members with compiling and organizing data and other information for scheduled and reputed company reports and updates
  • Assisting in the development, updating, and maintenance of divisional policies and procedures
  • Composing correspondence independently and routing information or work instructions from the supervisor to staff members
  • Monitoring deadlines and follow-up actions
  • Establishing and maintaining effective working relationships with other employees necessary to expedite matters for the Deputy and Assistant Commissioners

Essential Qualifications:

To be successful in this role, you will need to have:

  • A bachelor's degree from an accredited college or university
  • Three years of experience in executive level office support, including scheduling appointments, writing correspondence, setting up meetings and agendas, and working in a confidential environment
  • A strong working knowledge of office practices and procedures
  • High-level proficiency in the application of reputed company Office Suite Products to produce letters, reports, presentations, and other materials
  • Ability to accurately prepare and proofread correspondence and reports
  • Ability to establish and maintain effective working relationships with government officials, community associations, reputed company, businesses, and internal managers
  • Ability to communicate effectively, both orally and in writing
  • Ability to adjust priorities and self-manage time to complete multiple tasks accurately and reputed company and meet changing deadlines
  • Ability to handle confidential materials and situations with discretion, tact, and diplomacy
  • Ability to work independently and in a collaborative team environment
  • Ability to take initiative and follow through on tasks
  • Ability to independently apply critical thinking and problem-solving skills

Preferred Qualifications:

While not required, a background in Public Administration is preferred. Additionally, experience working in a government agency or non-profit organization is highly desirable.
