In-Travel Concierge - Europe

Role Mission As an In-Travel Concierge for the Europe team, you will support the team by ensuring all travel arrangements are accurate and well-documented, maintaining service excellence, and helping deliver exceptional travel experiences for our clients. You’ll collaborate closely with Travel Advisors, Advisor Support, and the broader team to provide quality assurance, documentation support and ensure itinerary accuracy. You Will Project & Document Management Collaborate with Res and Support teams to create, organize, and maintain easy-access content and reference documents (dining guides, pricing reference sheets etc) Assist in developing and executing a pre-travel protocol on bookings to ensure accuracy, efficiency and a seamless backend operation Take on projects from leadership as needed to support the European Specialist Team Quality Check & Audit Assist with final adjustments to bookings and complete quality checks (Q/C) against all confirmations in the Admin system. Ensure all hotel proformas are aligned with the correct pricing entered in the database. Audit bookings to ensure each one has a payment schedule and/or payment charged. Confirmation Updates Proactively reach out hotels to receive proformas on pending bookings in assistance to Res Sales Work closely with Travel Advisors, Advisor Support, and other team members to assist with missing details for itinerary continuity Identifying opportunities to streamline processes and improve efficiency. or provide additional support as needed on the backend Crisis Management & In-Travel Support Provide real-time support during active travel, managing urgent issues such as cancellations, overbookings, supplier errors, strikes, weather disruptions, and last-minute itinerary changes. Coordinate directly with hotels, DMCs, transportation providers, and internal teams to resolve issues quickly while protecting the client experience. Ensure all crisis-related actions and updates are clearly documented, and contribute insights to improve pre-travel planning and crisis response processes. You Are Experienced in the luxury travel agency space, whether through a luxury agency or a DMC (Destination Management Company). Fluent in English, with professional to native written and verbal communication skills. A detail-oriented individual with the ability to work quickly and manage a large volume of tasks efficiently. Comfortable with tight deadlines and able to adapt to the fast-paced, unpredictable nature of travel. Someone with strong organizational skills who enjoys supporting a team and ensuring all details are taken care of. A proactive communicator, skilled at working with suppliers and internal teams to ensure the accuracy and completeness of all travel arrangements. Able to maintain up-to-date travel documents and resources, contributing to an excellent client experience. Experienced in auditing and quality checking bookings and itineraries to ensure everything is aligned and accurate. A team player who thrives in a collaborative environment and is eager to provide support as needed. Apply To This Job
