Chapman Management Group Property Support Admin (LATAM) Location: Remote – Independent Contractor Compensation: $5.00 USD/hour Independent Contractor Notice: This is an independent contractor engagement. The selected candidate will be engaged as an independent contractor and not as an employee of Chapman Management Group. Chapman Management Group (CMG), a Washington, DC-based boutique property management firm specializing in affordable and multifamily housing across the DC, Virginia, and Maryland region, is seeking a highly organized and detail-oriented LATAM Property Support Admin to provide remote administrative and operational support for our affordable housing portfolio. In this role, you will play a critical part in keeping maintenance operations running smoothly, supporting property managers, and ensuring residents receive timely and professional service.

Key Responsibilities

  • Maintain spreadsheets and trackers.
  • Order necessary parts, contact vendors to request proposals for property work, and submit them for approval.
  • Follow up on ordered parts: confirm arrival and ensure they are used in the correct unit so the ticket can be properly closed.
  • Schedule vendor appointments and notify residents.
  • Verify that completed tickets include the correct photos and notes.
  • Create and track inspection, abatement, and complaint tickets.
  • Send notices to residents and set reminders for property managers.
  • Maintain constant communication with property managers and site technicians; assist them with anything they need.
  • Track weekly pest control treatments and verify that invoices are uploaded into the system.
  • Review move-out inspections and create work orders on the Make Ready board.
  • Prepare a summary of work needed for unit turnover: identify repairs that can be done in-house and those requiring vendors or parts, request purchase orders, and document progress in a report.
  • Track repairs for units with Notices of Infraction and send completed reports for DOB abatement submission.
  • Assist with capital projects and annual or semi-annual property inspections (fire systems, elevators, HVAC, life safety).
  • Search for new vendors for property projects and compare proposals.
  • Utilize Entrata to efficiently create, track, and review maintenance tickets; manage before-and-after photos for completed work orders.
  • Generate daily reports for the Maintenance Director summarizing the status of open tickets.

Qualifications

  • Minimum 6 months to 1 year of experience in property management or a related field.
  • Experience using property management software (Entrata preferred).
  • Tax Credit Specialist (TCS) certification preferred; if not held, must be completed within the first 6 months.
  • Excellent organizational, communication, and time management skills.
  • Strong attention to detail and ability to prioritize tasks in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and remotely with minimal supervision.
  • Strong customer service skills and ability to research and compare proposals effectively.
