Diligence Coordinator (Contractor)

Position Summary: The Diligence Coordinator is responsible for supporting land and title due diligence for IFM forest carbon project opportunities and coordinating with other team members, including the Senior Diligence Coordinator ensuring each transaction is accurately vetted and risk assessed. This role sits at the center of transaction readiness—reviewing ownership, including confirming signatory authority, verifying parcel IDs, identifying risks, coordinating issue resolution, and recording key legal instruments (easements and memoranda of agreement). This position is ideal for someone with experience in real estate transactions, title review, or land-based transaction execution who is detail-oriented, proactive, comfortable managing complex documentation. \n What You'll Do: Land & Title Due Diligence Obtain and review title reports, deeds, easements, mortgages, liens, and other encumbrances Analyze ownership structures, including third-party mineral or timber interests, parcel configurations, and land-use restrictions Identify risks related to eligibility, ownership clarity, or contracting feasibility Utilize GIS systems and county mapping resources to verify parcels and legal descriptions Summarize key findings in clear, structured internal diligence reports Risk Identification & Issue Resolution Flag title defects, encumbrances, or structural issues that may impact contracting Partner with sales, legal, forestry, and operations teams to resolve risks and close gaps Track open diligence items through resolution and ensure no critical issues remain Transaction Readiness & Documentation Assist with document review to ensure transaction packages are complete and internally consistent (names, vesting, parcel IDs, legal descriptions) Maintain complete, organized, and audit-ready diligence files for each opportunity Standardize diligence summaries and documentation across the pipeline Ensure all ownership is verified and signatory authority identified prior to contract execution Easement & Memorandum Recording Coordinate the preparation, execution, and recording of access easements and/or memoranda of agreement tied to project enrollment Work with legal counsel and external title/recording offices to ensure accurate filing Track recording status and confirm successful local-level recordation Maintain electronic records of all recorded documents and coordinate with other team members for retention of hard copy files Contracting Support & Handoff Support final diligence confirmation Partner with originations and legal to ensure all diligence conditions are met Process Improvement & Standardization Providing leadership and direction ensuring that actions are completed in a timely and fiscally responsible manner Build and refine diligence checklists, templates, and workflows Identify recurring risks and recommend process improvements Help improve speed, consistency, and quality of diligence across all transactions What Success Looks Like: All transactions reach contract with confirmed ownership, including signatory authority, and verified parcel ID’s Title is reviewed and risks resolved for all transactions Diligence materials are complete, accurate, and audit-ready Easements and memoranda are correctly executed and recorded without delay Internal teams have high confidence in transaction readiness at signing Diligence timelines are efficient across the pipeline About You: Required Qualifications 3–6+ years of experience in real estate, title, or land acquisition/transaction Experience reviewing title reports, deeds, easements, and encumbrances Understanding of legal descriptions Familiarity with document recording processes Strong attention to detail and ability to manage complex documentation Ability to manage multiple transactions simultaneously Proficiency in Microsoft Office
Preferred Qualifications
Experience with title companies, real estate closings, or land transactions Exposure to conservation, renewable energy, or infrastructure projects Familiarity with easements, deed restrictions, or conservation agreements Understanding of GIS systems Experience working with legal teams or contract execution processes Previous experience working in a remote environment Lives in or open to work in Central or East Coast time zone \n$35 - $40 an hour The base salary range for this position is expected to be between $35-40 an hour subject to the chosen candidate’s experience, skills, certifications and qualifications, determination of which is made in the sole discretion of Chestnut Carbon. \n Diversity, equity, and inclusion are central to everything we do.
