The Content Operations Coordinator plays a crucial role in managing the logistics of content production, serving as the main communication link between the creative team and clients to ensure seamless coordination of projects.

Responsibilities

  • Schedule and coordinate all client content shoots, ensuring team availability and client needs are aligned
  • Serve as the primary point of contact for clients to confirm shoot dates, times, and logistical details
  • Manage and maintain the company’s scheduling systems, including Calendly and internal project tools
  • Collect necessary information and details from clients before shoots, ensuring the creative team is well-prepared
  • Collaborate with the creative team to ensure smooth execution of content production
  • Maintain organized documentation of shoot schedules, client notes, and project status updates
  • Anticipate and resolve scheduling conflicts or logistical challenges
  • Support leadership in streamlining communication and workflow processes

Skills

  • 1–2 years of administrative, project coordination, or operations experience (marketing or creative industry experience a plus)
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Comfort with client-facing communication
  • Proficiency with scheduling tools like Calendly and project management software (experience with Basecamp is a plus)
  • Strong attention to detail and ability to manage multiple projects simultaneously
  • Proactive, solution-oriented, and able to thrive in a fast-paced creative environment
  • Must be local to Connecticut or able to work in-office several times per week
  • Experience in a marketing, content creation, or creative agency setting
  • Knowledge of photography and video production workflows (not required but helpful)
  • Familiarity with client communication and relationship-building best practices
