This role is critical in ensuring clients receive timely support, clear communication, and a seamless experience throughout their engagement with the program. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced remote environment while managing multiple communication channels and client needs. Position Summary The Client Success Specialist serves as a primary point of contact for clients, providing support through email, chat, text messaging, and occasional inbound and outbound phone calls. This role is responsible for addressing client inquiries, resolving issues, coordinating appointments, supporting account access, and ensuring clients remain engaged throughout their program experience. Success in this role requires excellent communication skills, strong organizational abilities, and a genuine commitment to delivering exceptional customer service.

Key Responsibilities

Client Support & Communication: Respond to client inquiries via email, chat, text, and occasional phone calls in a professional and timely manner. Provide guidance regarding program processes, next steps, and general support requests. Resolve client concerns efficiently while maintaining a positive customer experience. Escalate complex issues to the appropriate internal teams when necessary. Account & Platform Support: Assist clients with accessing their accounts, portals, and program materials. Troubleshoot login issues and provide technical guidance related to platform navigation. Ensure clients receive and can access all required assessments, forms, and resources. Scheduling & Coordination: Schedule, reschedule, and confirm appointments. Ensure clients are properly prepared for upcoming consultations and program milestones. Send reminders and follow-up communications to minimize missed appointments. Client Engagement & Follow-Up: Monitor client progress and completion of required onboarding activities. Conduct follow-up outreach to maintain engagement and support successful program participation. Identify and address barriers that may impact the client experience. Documentation & Administrative Support: Accurately document all client interactions within CRM and communication platforms. Maintain organized and up-to-date client records. Follow established workflows, procedures, and quality standards. Collaborate effectively with team members and cross-functional departments.

Qualifications

Required: Minimum of 1 year of experience in customer service, client support, administrative support, or a related field. Strong written and verbal communication skills. Excellent organizational and time management abilities. High attention to detail and accuracy. Ability to manage multiple priorities in a structured environment. Strong problem-solving and critical-thinking skills. Ability to work independently while maintaining collaboration with the broader team. Preferred: Experience using CRM platforms or customer support software. Experience supporting clients in healthcare, wellness, coaching, or service-based industries. Familiarity with remote work environments and digital communication tools.
