Our mission‑driven culture puts people first—both the patients we serve and the talented professionals who power our operations. By joining arenaflex, you become part of a collaborative community that values compassion, continuous learning, and the tangible impact of every interaction on vulnerable populations across the United States.

Why This Role Matters

As a Remote Customer Service Representative on our Review Team, you will be the frontline voice of arenaflex, guiding beneficiaries, providers, and internal partners through complex appeals and healthcare inquiries. Your work will directly influence the speed, accuracy, and empathy with which critical health information reaches those who need it most. If you thrive in a fast‑paced, mission‑focused environment and enjoy solving problems that matter, this is the role for you.

Key Responsibilities

  • Answer the Beneficiary Helpline using the designated hunt‑group system, triaging calls, providing accurate information, and documenting referrals in the CMS platform.
  • Draft, proofread, format, and mail correspondence—including letters, notices, and appeal documents—ensuring grammatical precision, proper spacing, and timely delivery.
  • Validate medical records and notices, extracting essential data to support review processes and appeal intake.
  • Maintain clear, courteous, and professional communication with external customers via phone and written channels, consistently reflecting arenaflex’s service standards.
  • Collaborate with internal teams to identify process improvement opportunities, contributing insights from case reviews and workflow analyses.
  • Utilize internal quality‑control tools to monitor personal performance and support team‑wide efficiency initiatives.
  • Manage multiple tasks simultaneously, prioritizing assignments to meet strict deadlines while preserving accuracy.
  • Support the Review Team’s mission by providing comprehensive intake for all appeals received by arenaflex.

Essential Qualifications

  • Education: High school diploma or equivalent; post‑secondary business coursework is a plus.
  • Experience: 2–3 years of clerical experience, including word processing, filing, and telephone‑based customer service.
  • Healthcare Exposure: Prior work in a medical setting or familiarity with medical terminology is highly desirable.
  • Communication Skills: Excellent verbal articulation, courteous demeanor, and strong written grammar, punctuation, and spelling.
  • Technical Proficiency: Comfortable navigating PC‑based systems; ability to learn new software applications quickly.
  • Interpersonal Traits: Customer‑focused, results‑oriented, adaptable, and capable of maintaining composure under pressure.
  • Organizational Ability: Demonstrated skill in multitasking, prioritizing workload, and working independently with minimal supervision.

Preferred Qualifications & Additional Skills

  • Certification or coursework in medical terminology, health information management, or related fields.
  • Experience with healthcare claims processing, appeals management, or quality‑improvement initiatives.
  • Familiarity with CMS (Centers for Medicare & Medicaid Services) platforms or similar case‑management systems.
  • Proficiency in Microsoft Office Suite, especially Word and Excel, and exposure to customer‑relationship management (CRM) tools.
  • Demonstrated ability to analyze data trends and suggest actionable improvements.

Core Skills & Competencies for Success

  • Empathy & Active Listening: Ability to understand caller concerns, convey genuine care, and provide solutions that align with arenaflex’s mission.
  • Problem‑Solving: Quick decision‑making when handling complex appeals and navigating ambiguous situations.
  • Attention to Detail: Rigorous proofreading and data validation to ensure accuracy in all communications.
  • Time Management: Efficiently balancing high‑volume call handling with administrative duties.
  • Team Collaboration: Building strong relationships with internal departments, external providers, and beneficiaries.
  • Adaptability: Comfort with rotating shift schedules across EST, CT, or PST time zones.
