Operations Assistant

Position Summary The Administrative Assistant / Operations Assistant provides administrative, organizational, and operational support to ensure the efficient day-to-day management of the business. This position assists with order fulfillment, scheduling, communication, record keeping, inventory tracking, and other duties that support organization, productivity, and overall business operations. Essential Duties and Responsibilities

  • Assist with preparing, assembling, packaging, tracking, and coordinating customer orders.
  • Maintain calendars, appointments, schedules, deadlines, and daily task priorities.
  • Coordinate meetings and appointments, including reminders, follow-up communication, and related logistics.
  • Take detailed notes during meetings and organize action items for follow-up.
  • Organize and maintain business records, files, documents, and other administrative systems.
  • Assist with customer communication by phone, email, and messaging platforms in a professional and timely manner.
  • Track inventory, supplies, materials, and operational needs to support business functions.
  • Create and update spreadsheets, reports, trackers, and other organizational tools.
  • Help prioritize tasks and ensure important deadlines and assignments are completed on time.
  • Support project planning, implementation, and general business operations as needed.
  • Maintain confidentiality and professionalism when handling sensitive business information.
  • Perform general administrative duties and other tasks as assigned to support business growth and efficiency.

Qualifications

  • High school diploma or equivalent required; additional administrative or business training preferred.
  • Prior experience in administrative support, office coordination, operations support, or a similar role preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask, prioritize responsibilities, and adapt in a fast-paced environment.
  • Attention to detail, accuracy, and follow-through.
  • Proficiency with email, calendars, spreadsheets, and basic office software.
  • Ability to work independently, maintain confidentiality, and exercise sound judgment.
  • Strong problem-solving skills and the ability to support changing operational needs.
