Role Overview

The Office Assistant & Customer Care Specialist serves as the central hub for communication between our customers, field technicians, and internal departments. You will be responsible for ensuring that every client interaction is handled with professionalism, empathy, and efficiency. By maintaining accurate records, managing work orders, and supporting daily accounting functions, you will help keep the organization running smoothly and contribute directly to the high satisfaction scores that set arenaflex apart from the competition.

Key Responsibilities

  • Customer Communication: Answer inbound calls, forward messages to the appropriate team members, and confirm work orders with customers in a courteous and timely manner.
  • Appointment Coordination: Schedule service appointments, resolve conflicts, and keep both customers and field staff informed of any changes.
  • Customer Satisfaction Initiatives: Conduct post‑service satisfaction surveys, follow‑up courtesy calls, and document feedback for continuous improvement.
  • CRM Management: Accurately input, update, and maintain customer data within the Customer Relationship Management (CRM) system, ensuring data integrity and accessibility.
  • Work Order Administration: Create, delegate, and track work orders for field technicians, monitoring progress and adjusting schedules as needed to meet service level agreements.
  • Accounting & Bookkeeping: Perform daily accounting tasks including invoicing, processing receivables and payables, and reconciling accounts using QuickBooks or similar software.
  • Office Operations: Manage inventory of office supplies, troubleshoot equipment issues, and coordinate maintenance requests to keep the workplace functional and organized.
  • Reporting & Documentation: Generate regular reports on service metrics, financial performance, and customer feedback for senior management review.

Essential Qualifications

  • College degree preferred or equivalent business experience demonstrating strong administrative capabilities.
  • Minimum of three (3) years of experience in a service‑oriented environment, with a focus on back‑office functions such as scheduling, billing, or customer support.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks or comparable accounting software.
